Why Hosted Exchange?

You would probably get quite hurt in the event of an accident, yet forty years ago, it wasn't a big deal to cruise around without a seatbelt. In today's world, your emails are your primary means of communication, so when you are thinking of a reliable car, do you think of a 1982 Ford Cortina, because that's how old the protocol for email transmission is.

What was up for grabs five years ago, compared to today, are very different. Now, if you are like most people, you probably think email is email, or if you have heard words like POP, Exchange, or IMAP, they probably don't mean much to you. Until one day, your laptop won't turn on, when you finally hit the power switch on your new laptop, to your shock, only a hand full of your old emails are there. You, unfortunately, have just been diagnosed with what we call "Chicken POP's".

So, as you probably guessed, there is more than one way to move email. Well, sort of. The basic principle of how we send and receive emails (SMTP) has not changed much since it was introduced in the 1980s by This Guy. The only real change has been in the way your computer connects to your email server, and they are.

POP - Post Office Protocol

POP works by downloading all your new messages from your service provider. Once you have downloaded them onto your PC or Mac, they will get deleted from the email server. Generally, you will retrieve about seven days of your inbox that is still on the server. However, if you didn't have a backup, you better start walking to the Bermuda Triangle, because unfortunately, that's where they are.

IMAP – Exchange Wannabe

If you are lucky and are using IMAP, you will certainly be happier than old Chicken Pops. With IMAP, your emails get synchronised to your email server, so you should at least get your email's back. Unfortunately, IMAP only synchronises your emails, nor is it known for breaking any speed records. Meaning you won't recover your contacts or calendar, and if you are one of those people who likes to get things done, you will get annoyed fast!

Now, even though email has been part of most of our lives for at least a decade, the basic protocol, SMTP, is practically unchanged. And yes, forty years after guys like this chap were fiddling, many email providers still do not enforce encryption like SSL and TLS connections. Millions of people are still sending their bank statements, credit card details, and passwords in plain text across the internet. Intercepting unencrypted mail is like building a five-piece puzzle.

Microsoft Exchange - The Big Daddy

Trying to explain Microsoft Exchange to someone who has not used it is like trying to explain a tablet or cell phone to someone fifty years ago. It's like trying to teach your parents how to use their new iPhone over the phone, blindfolded while riding a bicycle. Can you imagine life today without your phone? Microsoft Exchange is a Ferrari 458 Italia with a turbocharger. Comparing Microsoft Exchange to POP or IMAP is the equivalent of throwing a mouse into a cage full of tigers.

Microsoft Exchange uses a protocol called MAPI. MAPI synchronises your emails just like IMAP, but Exchange does it so much better. Exchange offers the highest level of security, speed and has so much more to offer. Microsoft Exchange doesn't just sync your emails. It synchronises your contacts, calendar and autocomplete list. Do you know when you start typing an address, and it comes up automatically? That thing is called an autocomplete list.

Microsoft Exchange also works hard behind the scenes in Data Centres with features like Database Availability Groups. So, what this means is that your emails are replicated across multiple servers or even multiple Data Centres, so if a server had to completely crash, you would be none the wiser, and your emails would carry on working.

Although Microsoft Exchange is more expensive, you certainly get more bang for your buck. Once you go "Exchange", you won't go back.
